Who we are

Ruskin Park House Limited ("RPHL", "we", "us", "our") is a resident-owned housing association registered under the Cooperative & Community Societies Act 2014. We are the data controller responsible for your personal data collected through this website and the services it supports.

What data we collect and why

We collect and use personal data for the following purposes:

  • Your name, contact details (including email address), and relevant tenancy or occupancy information to place you on waiting lists for estate amenities such as parking spaces, garages, and bike storage, and to manage your position on those lists.
  • Your contact details to notify you when you reach the top of a waiting list, or to communicate with you about an amenity you currently subscribe to, including changes to terms, access issues, maintenance, or other relevant matters.
  • Your email address to send estate-wide notifications that affect residents, such as planned works, safety notices, or changes to shared facilities.
  • Your data may also form the basis of other digital services that RPHL introduces in future. Where a new service involves a materially different use of your data, we will inform you before that use begins and, where required by law, seek your consent.


Our legal basis for processing

We rely on the following lawful bases under UK GDPR:

  • Legitimate interests, for managing waiting lists, communicating about subscriptions, and sending estate notifications relevant to residents. We have considered whether these interests are outweighed by your rights and do not believe they are, given the directly relevant nature of the communications.
  • Contract performance, where processing is necessary to administer an amenity subscription you hold with RPHL.
  • Legal obligation, where we are required to process data to comply with applicable law.

We do not rely on consent as our primary basis for the above activities. Where we introduce new processing that does require consent, we will ask for it separately and clearly.


Who we share your data with

We do not sell your personal data. We may share it with the following categories of third parties, only to the extent necessary:

  • Our managing agent, who has access to this website and its data management functions on our behalf, and who acts as a data processor under a written agreement with RPHL. They are UK-based.
  • Mailjet, our transactional email provider, through whose infrastructure outbound emails to you are sent. Mailjet acts as a data processor and your email address passes through their systems for delivery purposes only.
  • Other service providers we may engage in future to support the digital services described above. We will update this policy when that occurs.

We do not routinely share your data with local authorities, contractors, or other third parties unless required to do so by law or in connection with an urgent safety matter, in which case we will only share what is necessary.


Cookies and analytics

This website may use cookies and third-party analytics tools (such as Google Analytics) to understand how visitors use the site. These tools may collect data such as your IP address, browser type, pages visited, and time spent on the site. This data is used in aggregate to improve the website and is not used to identify you individually.

You can control cookie preferences through your browser settings or through any cookie consent tool presented on this site. You can opt out of Google Analytics tracking via Google's opt-out browser add-on.


How long we keep your data

We keep your data for as long as it is needed for the purpose for which it was collected:

  • Waiting list data is held for the duration of your place on the list and for a reasonable period afterwards to handle any disputes or queries.
  • Subscription data is held for the duration of your subscription to at least one amenity, and for six years afterwards, for each, in line with standard contractual limitation periods.
  • Estate communication records are retained for as long as they remain operationally relevant.

Where data is no longer needed, it is securely deleted or anonymised.


Your rights

Under UK GDPR, you have the right to:

  • access the personal data we hold about you
  • request correction of inaccurate data
  • request erasure of your data in certain circumstances
  • object to processing based on legitimate interests
  • request restriction of processing in certain circumstances
  • request that we transfer your data to another controller (portability)
  • withdraw consent at any time, where consent is the basis for processing

To exercise any of these rights, contact us at info@ruskinparkhouse.com. We will respond within one calendar month. We will not charge a fee for reasonable requests.


Complaints

If you are unhappy with how we have handled your data, you have the right to lodge a complaint with the Information Commissioner's Office (ICO), the UK's data protection regulator.

Changes to this policy

We may update this policy from time to time. Where changes are material, we will notify residents by email or via a notice on this website. The date at the top of this page reflects when the policy was last revised.
